Privacy Policy

Quicka Nigeria Limited (Quicka, we, us) explains in this policy how it processes personal information through quickaltd.com, enquiries, quotations, customer accounts and related logistics communications within its control. It describes the purposes of processing, the people and organizations that may receive information, and your rights under the Nigeria Data Protection Act 2023.

1 Who is responsible for your information

Quicka Nigeria Limited is the data controller where we decide why and how personal information is used. Our contact address is 99 Rivoc Road, Off Trans Amadi Industrial Layout, Port Harcourt, Rivers State, Nigeria.

For privacy enquiries or requests, email inquiries@quickaltd.com with “Privacy request” in the subject, or write to the address above, marked for the person responsible for data protection. You may also call +234 805 666 9990.

Where a service involves processing not adequately described here, we will provide additional privacy information at the relevant time. Where we process information solely on another organization’s instructions, we act as its processor and that organization is responsible for the applicable controller notice. This policy does not replace separate employment or recruitment notices.

2 Information we collect and where it comes from

Enquiries and quotations: names, employer and role, business contact details, correspondence, and shipment information such as origin, destination, cargo description, dimensions, weight and timing. Depending on the submission channel, a copy may be held in the website form system, our email system or the system used to manage the enquiry.

Services and customer accounts: where relevant, account identifiers, authorized contacts, access records, and shipment or transaction documents needed for the requested service. These may include information identifying consignors, consignees, drivers and other individuals. If identity verification or other protected documents are required, we will explain the requirement and appropriate submission channel.

Website use: technical records such as IP address, browser and device information, access times, pages requested and referring pages, where recorded by our website and security providers.

We receive information from you, your organization or its authorized representatives and, where relevant to a shipment, carriers, agents, service providers and public authorities. If you provide someone else’s information, share only what is necessary, ensure you are entitled to disclose it and bring this policy to their attention where appropriate. This does not remove our own duties to process information lawfully and provide any notice required by law.

Please do not send passwords, payment-card details, identity documents or sensitive personal information through a general enquiry form. If a service requires protected documents, contact us to arrange an appropriate way to provide them.

3 How we use information and our lawful bases

Enquiries, quotations and services: where you are personally the prospective or actual customer, we use necessary information to take steps at your request before a contract or perform that contract. Where you act for an organization, we normally rely on our legitimate interests in communicating with business contacts and arranging and delivering its services.

Website and account administration: legitimate interests in operating reliable services, administering authorized access, preventing misuse and protecting systems and information. We rely on legitimate interests only where the processing is necessary and those interests are not overridden by your rights and interests.

Required records and disclosures: compliance with applicable legal obligations, including customs, tax and lawful regulatory requirements. Records needed to establish, exercise or defend legal claims may also be processed for our legitimate interests.

Optional marketing and tracking: where consent is required, we will ask for it separately and explain the relevant purpose. Submitting an enquiry or requesting a quotation or checklist does not subscribe you to marketing. You may withdraw consent or object to direct marketing at any time by using the available controls or contacting us. Withdrawal does not affect processing that was lawful before withdrawal.

Providing information is usually voluntary. If you do not provide information needed to answer a request, verify account access, fulfil a contract or comply with the law, we may be unable to provide the relevant assistance or service. We will explain what is needed in the circumstances.

We do not sell personal information. We do not use solely automated processing to make decisions about you that have legal or similarly significant effects. If this changes, we will provide the information and safeguards required by law before carrying out that processing.

4 Who may receive your information

We disclose only information that is reasonably needed for the relevant purpose. Recipients may include carriers, airlines, shipping lines, terminals, warehouse and haulage providers, customs and other competent authorities, overseas agents and subcontractors involved in your shipment. We also use providers of website hosting, email, technical support and account systems, and may disclose information to professional advisers, insurers or authorities where necessary and lawful.

Where a provider acts as our processor, we require appropriate contractual terms governing its instructions, confidentiality, security and permitted processing. Some recipients, including authorities and carriers, act as independent controllers for their own purposes and responsibilities. We do not provide your personal information to another organization for its independent marketing.

5 Transfers outside Nigeria

International shipments and providers such as hosting, email and account-system operators may require personal information to be processed outside Nigeria. Before making a transfer, we must establish a permitted transfer mechanism under the Nigeria Data Protection Act 2023, such as an adequate level of protection supported by applicable law or appropriate safeguards, or a statutory exception whose conditions are satisfied. We are responsible for the assessment and records required by law.

You may contact us for information about the countries or recipients relevant to your information, the transfer mechanism used and how to obtain information about the applicable safeguards, subject to lawful confidentiality restrictions. Browsing the website or accepting its terms is not consent to an international transfer.

6 How long we keep information

We keep personal information only for as long as reasonably necessary for the stated purpose and applicable legal requirements. The period depends on the information and its use:

Enquiries that do not lead to work: until the enquiry and any reasonably expected follow-up are concluded, with further retention only where justified for complaints, legal claims or another lawful purpose.

Shipment, contractual and financial records: during the engagement and for the applicable customs, tax, accounting and legal-claims periods. The relevant obligation, record type and date on which the period starts determine the retention period.

Account records: while access is authorized and, afterwards, only to the extent needed for security, linked transactions, legal requirements or disputes. Closing an account does not automatically delete required shipment records.

Technical logs and preferences: for the period justified by their security, troubleshooting or consent-record purpose. Information relevant to an incident or legal requirement may need to be retained longer.

Retention is assessed by reference to the purpose, sensitivity, applicable legal requirements, outstanding complaints and relevant claims periods. A legal hold may delay deletion of affected records. Information no longer required is deleted or irreversibly anonymized; copies remaining in backups are protected and removed through the applicable backup cycle. Contact us for the period or criteria applicable to a particular record. Your rights apply to personal information we still hold; we cannot retrieve information already lawfully and permanently deleted.

7 Your rights and complaints

Subject to the conditions and exceptions in applicable law, you may request confirmation and access to your personal information, correction, erasure, restriction, or portability. You may object to processing based on legitimate interests and to direct marketing and withdraw consent at any time without affecting the lawfulness of earlier processing. You also have rights concerning decisions made solely by automated means.

Send requests to inquiries@quickaltd.com, preferably with “Privacy request” in the subject. We may request proportionate information to verify your identity or authority. We will respond within the applicable legal time limit. If an extension, restriction or refusal is permitted, we will explain the reason and the available complaint or review options as required by law.

You may complain directly to the Nigeria Data Protection Commission at ndpc.gov.ng whether or not you have contacted us first. You may also seek a remedy from a competent court in accordance with applicable law.

8 Cookies and similar technologies

Cookies, local storage and similar technologies may support functions such as security, session management and remembering choices. A technology is treated as necessary only to the extent required for the relevant essential function.

Where optional analytics, advertising or other tracking technologies are offered, we will identify their purposes, providers and duration in the relevant notice or settings. Where consent is required, those technologies must remain inactive until you consent. You will be able to reject optional tracking and withdraw consent through an accessible control. Continued browsing is not consent. Browser controls can also block or remove cookies, but may affect website functions.

9 Security and children

We use technical and organizational safeguards appropriate to the nature and risks of the processing, including controls on access to personal information. No website, communication channel or storage system can be guaranteed completely secure. If a personal data breach occurs, we will assess it and notify the Nigeria Data Protection Commission and affected individuals where required by law and within the applicable time limits.

The website is intended for business and adult users and is not directed at children. We do not knowingly solicit children’s personal information through general website forms. If you believe a child’s information has been submitted, contact us so we can assess it and take appropriate action, including deletion or obtaining any authorization required by law.

10 Changes to this policy

We may update this policy to reflect changes in our services, processing or the law. We will publish the revised policy and its update date and provide additional notice or seek consent where required.
